What a rent receipt should include

A clear rent receipt shows:

• Date received and a receipt number.
• Tenant name and landlord or property manager name.
• Property address and unit.
• Amount paid and the rent period it covers.
• Payment method: cash, check (note the check number), money order, bank transfer or card.
• Balance due after a partial payment, and any late fee.
• Signature of the person who accepted the payment.

Best for: cash, check or money order payments, and receipts for past months or a batch of months, with no account. It's a free web form that turns payment details into a one-page PDF receipt. Payment methods include cash, check, bank transfer/ACH, credit/debit card, money order and other. Price (as of Oct 14, 2026): free, no signup, no credit card (rentreceiptgenerator.com).

• Pros: in our test the PDF downloaded in about 1 second and showed landlord, tenant, property and unit, amount, period, method, receipt number and a signature line; Batch Monthly Receipts with Add Month fills in the next calendar month and downloads one PDF per month; the homepage says data is processed in your browser, and our test saw no form-data requests.
• Cons (what it does not do): no online rent collection or emailing of receipts, so you deliver the PDF yourself; no saved tenant records; no logo upload.
• Choose it if you take rent in person or by mail, or need to catch up on months already paid.

2. TurboTenant

Best for: landlords who collect rent online, or who want a free printable PDF. TurboTenant is landlord software with online rent collection on its free plan, plus a free PDF rent receipt. • Pros: "Late Fees, Receipts, & Reminders" is checked on all four plans, including Free; online rent collection on the free plan; the PDF template includes balance due and late fee lines.
• Cons: renters pay 3.49% for credit or debit card rent payments; we didn't create an account, so we haven't seen its receipts.
• Choose it if your tenants pay online and you want receipts, reminders and late fees in the same tool that collects rent.

3. Avail

Best for: landlords who want online rent collection with per-unit pricing. Avail is landlord software whose free plan includes online rent collection. Price (as of Oct 14, 2026): Unlimited $0/unit; Unlimited Plus $9/unit per month (Avail pricing).

• Pros: online rent collection on the free plan; auto-generated payment receipts and confirmation; no ACH fee on Unlimited Plus.
• Cons: on the free plan, tenants pay $2.50 per bank transfer; cards cost 3.5% on any plan; we didn't create an account, so we haven't tested its receipts.
• Choose it if you want rent paid online and can live with the transfer fee on the free plan.

4. Vertex42 rent receipt template

Best for: spreadsheet users, or printing several receipts on one page. Vertex42 offers a free rent receipt template in several file formats. Price (as of Oct 14, 2026): free (Vertex42 rent receipt template).

• Pros: Excel (.xlsx), Google Sheets, Word and OpenOffice versions; a fillable PDF form with 3 receipts per page; a formula that writes the amount in words.
• Cons: licensed for private use only, not distribution or resale; the page was last updated 6/2/2020.
• Choose it if you already track rent in a spreadsheet and want receipts in the same place.

5. A blank Word or Google Docs document

Best for: a one-off receipt in your own layout. You open a new document and type the receipt yourself, using the checklist above. Price: not compared here; it depends on the word processor you already use.

• Pros: you control the layout; room for notes such as a partial payment.
• Cons: you have to remember every field (use the checklist above); numbering and totals are up to you.
• Choose it if you write a receipt only now and then.

• Who it's for: a small landlord who needs proof of rent payments, especially cash, check or money order.
• Criteria: price, whether an account is needed, how receipts are delivered, fields covered, and fees or limits.
• What we did: on Oct 14, 2026 we filled out our own form and downloaded a single-receipt PDF and a batch of monthly PDFs. The same day we read the TurboTenant and Avail pricing pages, downloaded the TurboTenant PDF template and downloaded the Vertex42 template page. We did not create TurboTenant or Avail accounts or collect rent through them, so their features are described as each vendor states them.
• Prices change. Check each vendor's page before you sign up.

When a rent collection app is the better choice

A rent collection app is the better choice if you:

• collect rent online and want receipts in the same tool;
• want late fees and reminders in the same place (TurboTenant lists both on all four plans, per its pricing page as of Oct 14, 2026);

Is there a free rent receipt template? Yes. As of Oct 14, 2026, TurboTenant offers a free PDF template (template) and Vertex42 offers free Excel, Google Sheets, Word and OpenOffice versions (template page). Our generator is also free (site); it lays out the receipt for you and downloads a PDF.

What should a rent receipt include? At a minimum: the payment date, a receipt number, tenant and landlord names, the property address and unit, the amount, the rent period, and the payment method. Add any balance due and a signature. Our rent receipt template page explains the name, address, amount, period and payment fields in more detail.

Can I make rent receipts for past months? Yes. In our generator you enter the rent period yourself, so you can make receipts for months already paid.
